Operational Excellence Project Manager


Job description

Role Purpose

The Draken Project, Programme and Portfolio Office (P3O) is the governance and support hub for the Draken Delivery Framework and portfolio of programmes and projects. The P3O requires an Operational Excellence Project Manager (Op Ex PM) to provide project management, change management and continuous improvement (CI) expertise across the business.

As Op Ex PM, your role is to provide hands-on project management, change management and continuous improvement leadership and support across the business. Responsibilities of the role will centre on implementing and improving the Draken Business Management System to suit the business operating model. This will include delivering business wide change projects and supporting business functions to apply appropriate techniques to identify, prioritise, plan and deliver sustainable local change and benefits.

You will be proactive in supporting business areas through providing advice, facilitation and skills development to support both localised and business wide change activities. This will include the application of the Draken Delivery Framework, project management framework and CI and change management techniques to ensure application of best practice to support the business to deliver sustainable benefits.

Key Responsibilities

  • Establish, sustain and improve on the Draken Business Management System
  • Deliver business wide change projects.
  • Support adoption of the Draken Delivery Framework and project management processes.
  • Produce project reporting.
  • Support business areas to manage and deliver local change through providing expertise, facilitation and skills development.
  • Monitor and report on business wide change load, progress and results.
  • Review implemented changes to ensure sustainment and identify good practice.
  • Support continuous improvement of the P3O approach and services.


Application of Project and Change Management Methods and Tools 

  • Plan, lead, drive and execute complex / business critical improvement projects to deliver agreed benefits including the development and implementation of change management plans, maximising adoption to realise benefits.
  • Coach sponsors and leaders to understand and fulfil their role as change sponsor(s) in successfully landing sustainable improvements.
  • Provide advice, mentoring, facilitation and skills development to support local and business wide changes.
  • Continuously improve effectiveness of processes in area of expertise.
  • Provide change management expertise and support to leaders and CI champions, enabling the delivery of functional improvements.
  • Risk assessment and management of business change and continuous improvement activity including assessing and analysing change impacts and the organisation’s readiness for change.
  • Managing the people side of organisational change to drive developments and bring about a cultural shift, embedding change management practices and principles at the business’ core.

Supporting the Identification and Delivery of Improvements 

  • Provide advice, mentoring, facilitation and skills development to support identification, prioritisation, planning, delivery and sustainment of local change.
  • Assist functional leaders to understand need for change, forward resource planning, communications and stakeholder engagement.
  • Design, lead and facilitate improvement/problem-solving workshops, root cause analysis and project planning sessions.
  • Provide facilitation to support the business and identify improvement opportunities which enable us to improve delivery to our customers.
  • Support sustainment to CI Champions through mentoring and skills development.
  • Work with business areas to track and report CI Programme Performance on a monthly basis ensuring control plans are in place to capture and track benefits. Promote the use of benefits tracking to affirm and promote the benefits of Operational Excellence involvement, training and support.

Planning and Organisation 

  • Work with sponsors and Draken Europe leaders to identify and address major barriers to progress, to ensure projects and changes are delivered to plan.
  • Use Draken frameworks and ways of working to support estimating, planning and scheduling.
  • Support resources and people management reporting
  • Make adjustments to plans, priorities, timelines and approach when appropriate to make best use of time across portfolio.

Communication and Knowledge Sharing

  • Manage and drive the communication plan for improvement and change activities, in order to share successes across the organisation.
  • Be willing and able to share good practice and expertise with others.
  • Support the design and development of improvement related training to meet the needs of the organisation.
  • Present sound and well-reasoned arguments to convince others using a variety of methods.
  • Work to create and sustain a team ethos and collaborative environment across the business and portfolio delivery.
  • Have a service delivery mindset in provision of support to the P3 function and wider business.

Leadership and Teamwork

  • Influence operational teams to adopt the relevant operational excellence concepts to define, measure, analyse and improve day to day delivery of services to our customers.
  • Build and sustain positive relationships with team members and customers.

  • Take the lead and be proactive to ensure people engage with change.
  • Be responsive to changes in customer needs and expectations.

Tools and Systems 

  • Proficient in MS Project, Project Web App
  • Proficient in administration of PowerBI reporting
  • Proficient across suite of Microsoft 365 applications

Key Measures

  • Application of project and change management skills.
  • Provision of change and improvement support to business functions on time and to a high standard.
  • Engagement of people across business in managing portfolio of internal change to ensure resources are always applied to meet business priorities.
  • Generation and delivery of all required project metrics/reports to the standard required and in a timely fashion.
  • Proactive identification, justification and ownership of improvement ideas and opportunities for beneficial change.
  • Provision of support within P3O to establish and maintain appropriate frameworks and processes.
